Using custom questionnaires instead of prescreen questions

If you have a set of specific prescreen questions you use every time you hire for a particular position, you can save time by creating a custom questionnaire instead of manually adding each prescreen question every time you post that job.

A quality questionnaire should include a comprehensive set of questions tailored to an individual job, not a generalized set of questions that you can assign as a baseline to many or all of your jobs. When you add a questionnaire (a.k.a. question set) to a job posting, you cannot add any additional prescreen questions.

If you update a questionnaire that is already linked to a job or job template, it will automatically be updated on the job or job template the questionnaire is attached to.

Creating a questionnaire

You need to create a custom questionnaire before you can add it to any jobs or job templates.

1. Navigate to Company settings (gear icon)> Hiring tools > Prescreen Question Library.

2. Click the Create New Questionnaire button.

3. In the pop-up, select whether to create a New Questionnaire or Clone an existing one. If you select Clone, choose which questionnaire to Clone from using the drop-down menu.

If this is the first time you've created a questionnaire, you will automatically create a new questionnaire. Skip to Step 5.

4. Click the Create Questionnaire button.

5. Enter a Name for the questionnaire so it's easy to find when you are adding it to a job or job template in the future.

6. Click the Add Question button to add your first question.

7. Select what type of question you would like to ask — Multiple Choice, Yes/No, Multi-Select, or Open Response (which allows the applicant to type in their own response to the question). If you chose a Multiple Choice or Yes/No question, you should choose how each response to the question will be weighted in the final prescreen score.

8. Enter a question, such as "Which term best describes your selling style?"

9. Check the Required checkbox to require applicants to answer this question.

10. Enter your response options in the open fields.

11. Assign a score to each response option using the drop-down menu. This is only applicable for Multiple Choice or Yes/No questions.

12. Select the status to assign to an applicant based on their response option using the drop-down menu. This is only applicable for Multiple ChoiceYes/No, or Multi-Select questions.

11. When you're done setting up your question, click the Done button.

Add additional answer choices by clicking the Add Response Option button. Remove an answer choice by clicking the X icon. Add additional questions to your questionnaire by clicking the Add Another button.

12. When you're finished adding questions, click the Update Questionnaire button.

Re-order questions by clicking the up-and-down arrow on the left edge of a question and dragging it up or down. Edit a question by clicking the Edit (pencil) icon to the right. Remove a question by clicking the X icon on the right edge.

Adding a questionnaire to a job

Once you've created a custom questionnaire, you can add it to any new or existing jobs.

1. From your Jobs page, find the job you want to edit, and click the Edit (pencil) icon to the far right.

2. Navigate to the Applicant Evaluation tab.

3. Click the Select Set button.

Note: You cannot use a questionnaire and individual prescreen questions on the same job. If the job has any existing prescreen questions, click the trash can icon to delete them and then click the Update Job Post button. Return to Step 1.

4. In the pop-up, select the question set you wish to use.

5. Click the Save button.

6. Click the Update Job Post button to save your changes to the job.

Adding a questionnaire to a job template

Once you've created a custom questionnaire, you can add it to any new or existing job templates.

1. To add a questionnaire to an existing job template, navigate to Company settings (gear icon) > Templates > Job Templates.

2. Click the Edit button to the right of the desired job template.

3. Click the Applicant Evaluation tab.

4. Click the Select Set button.

Note: You cannot use a questionnaire and individual prescreen questions on the same job template. If the template has any existing prescreen questions, click the trash can icon to delete them and then click the Save button. Return to Step 2.

5. In the pop-up, select the question set you wish to use.

6. Click the Save button.

7. Click the Save button in the top-right corner to update your job template.
