Editing email templates

CareerPlug includes the ability to send applicants pre-written emails that help you quickly move candidates through your hiring process. CareerPlug provides some default templates, but you may also create your own.

Editing existing email templates

To edit email templates in CareerPlug, navigate to Settings > Templates. Click the General Messages or Messages tile on the left side of your screen, depending on which message you want to edit.

  • Messages include the more common emails you send to applicants, like invitations for assessments, phone screens, and interviews.
  • General Messages include offer letters, forms, rejection emails, and more.

You can use the search bar to find the template you're looking for.

You can also Filter by template category using the drop-down menu.

To modify a message template, click the Edit button to the right of the template.

Note: When you attempt to edit a General Message, you'll notice that a copy must be created in order for you to edit it.

Make your desired changes to the email template. Give it a new Title to make it easier to keep track of your new template.  

When you're done, click the Save button at the bottom of the page.

Creating new email templates

To create a new email template in CareerPlug, navigate to Settings > Templates.

Click the General Messages or Messages tile on the left side of your screen, depending on which message you want to edit.

  • Messages include the more common emails you send to applicants, like invitations for assessments, phone screens, and interviews.
  • General Messages include offer letters, forms, rejection emails, and more.

Click the plus icon (+) and select Create Email Template or Clone Existing Template from the drop-down menu.

Cloning an existing message template is the best practice. For example, if you would like to edit a message template with links, such as the assessment invite, it is best to clone the default message template so you have the code there that sends the correct link to the applicant.

Make your edits to the Title and Body of the template.

Select the Hiring Step in which you want to be able to use this template. You can select as many as you like.

You cannot add email message templates to the Review/New Application step of your hiring process. Even if you turn on the toggle for that hiring step, no template will be associated.

By default, all hiring steps across all hiring processes in your account will be displayed. Toggle on all instances of the hiring step(s) in which you want to be able to use this template. To add this template to one hiring process only, select the hiring process from the Filter by hiring process drop-down menu first.

When you're finished setting up your new template, click the Save button at the bottom of the page.

Your new template should appear when contacting an applicant during the hiring step to which you assigned it.
