CareerPlug provides the ability to send applicants pre-written emails that help you quickly move candidates through your hiring process.
CareerPlug provides some default templates, but you may also create your own. New templates you create will show up as options to send to an applicant:
To edit the default email messages CareerPlug provides, navigate to Settings > Templates. Click the General Messages or Messages tile on the left side of your screen, depending on which message you want to edit.
- Messages include the more common emails you send to applicants, like assessment invitations and phone screen and interview invitations.
- General Messages include offer letters, forms, rejection emails, and more.
You can use the search bar to find the template you're looking for. You can also filter the templates.
If you want to make small changes to the default message template, you can click the Edit button to the right of the message template.
If you attempt to edit a General Message, you'll notice that a copy must be created in order for you to edit it.
Make your desired changes to the email, especially changing the name. Make sure to Save.
If you decide you want to create an entirely new message template, click the plus icon (+).
Cloning an existing message template is a best practice. For example, if you would like to edit a message template with links, such as the assessment invite, it is best to clone the default message template so you have the code there that sends the correct link to the applicant.
Make your edits to the title and body of the email. Make sure to choose which hiring step(s) the template should be sent during. For example, if you're writing a new phone screen template, you'd want to toggle on the sliders next to the Phone Screen steps. You can filter by hiring process to only add this template to one hiring process, or you can select all the Phone Screen hiring steps if you want this template to be able to be sent to applicants in all hiring processes on your account.
Make sure to Save the template when you are finished.
You should now see the template you created as an option when contacting an applicant during that hiring step.
